Privacy Policy
1. Who we are
Rentio is a property management service operated by [legal entity name, registered address]. We provide software that landlords use to manage buildings, leases, rent and related records.

2. What we collect
When you create an account. You sign in with Google or Facebook. We receive your name, email address and profile identifier from that provider. We never receive or store your password for those accounts.
What you add yourself. Optionally, your phone number, your PAN (used to print your PAN on rent receipts and HRA statements where required), and your notification preferences.
What you record about your property. Buildings, units, leases, rent amounts, meter readings, charges, payments, expenses, deposits, advances and maintenance requests.
What you record about your tenants. Names, and where you enter them: phone numbers, email addresses, notes, and identity-document details. You choose what to enter here — see section 7.
Documents you generate. Ledger exports and statements you create are stored as PDF and CSV files so you can download them again later.
Technical data. Standard web-server and CDN logs, including IP address and browser type. [Update once an analytics tool is selected.]
3. What we do not collect
- We do not process or hold your rent. When a tenant pays by UPI, the payment goes from their bank directly to your UPI ID. We record only that a payment was claimed and that you confirmed it. We never see your bank account or card details, and we never hold your money.
- We do not use cookies for advertising, and we do not sell or share personal data with advertisers.
- We do not build profiles for advertising or automated decision-making.

We do not use your data for anything else without asking you first.
5. Where your data lives
All application data is stored in Amazon Web Services in the Asia Pacific (Mumbai) region

Meta's WhatsApp Business Platform is integrated for future notifications but is not active — no message is currently sent and no data reaches Meta through it. This section will be updated before that changes.
6. How we protect it
Traffic is encrypted in transit (HTTPS/TLS 1.2+). Your session is a signed token held in your browser's local storage; signing out clears it. Access to production systems is restricted. Document downloads use short-lived links that expire after 15 minutes.
No system is perfectly secure, and we do not claim otherwise. [Breach-notification obligations to be confirmed.]
7. Tenant data — please read this if you are a landlord
When you record a tenant's details, you decide what to collect and you are responsible for it. In the language of the Digital Personal Data Protection Act, 2023, you act as the Data Fiduciary for that information and Rentio acts as a Data Processor handling it on your instructions.
- Only record what you genuinely need. An identity-document field exists; you are not obliged to use it.
- Tell your tenants that you keep their details in Rentio, and obtain their consent where the law requires it.
- Requests from a tenant to see, correct or delete their details should come to you first. We will support you in acting on them.
8. Tenants using Rentio
If you are a tenant with a Rentio account, you can see your own lease, your rent statement, your receipts and your deposit and advance history. You cannot change any of it — those records belong to your landlord's register. Corrections should be raised with your landlord.
9. How long we keep it
We keep your data while your account is active, because a rent register loses its value the moment it has gaps. If you close your account we will delete your data within [retention period], except where we must keep records to meet a legal obligation.
Export everything before you go: every unit and building exports to PDF and CSV, per financial year.
10. Your rights
You may ask us to give you a copy of your data, correct it, delete it, or explain how it is used. Write to [contact], and we will respond within [statutory period].
You may withdraw consent to notifications at any time from your profile.

11. Children
Rentio is not intended for anyone under 18 and we do not knowingly collect their data.
